Will callers know they have reached an answering service?
Only if you want them to. We answer in your firm's name with the greeting you write. Most firms present us as their reception; some prefer we state that we are answering on their behalf. Either is fine and the choice is yours — what we will not do is claim to be someone we are not if a caller asks directly.
Can you screen out sales calls?
Yes, and for most firms it is the single most valuable thing we do. You tell us what a genuine inquiry looks like and what a vendor pitch looks like, and cold calls never reach your team. Anything genuinely ambiguous comes through as a message rather than a transfer, so the judgment call stays with you.
What do you ask a new client inquiry?
Your questions, in your order. A typical set is what they need help with, the entity or individual involved, any deadline they are working to, where they are located if that matters for licensing, how they heard about you, and contact details confirmed by reading them back. If your intake form wants something specific, we capture it in that shape.
Do your operators give advice?
No. They are trained call handlers, not accountants, advisers or licensed agents. They do not answer tax, legal, coverage or financial questions, quote fees, or speculate about outcomes. A caller who asks is told plainly that the right person will call back — and then that person does.
How do you handle confidentiality?
Operators work on-site in a CallCenterUSA building rather than from home, and they see only the fields your script defines. If a matter is sensitive enough that it should not be discussed on an inbound call at all, the script routes it without discussion. Firms that need specific handling written into the account tell us and we build it in.
What happens if nobody at the firm is reachable?
Your escalation path runs to its end: a set number of attempts to the first contact, then the second, then a message delivered by whatever channel you specify — phone, text, email, secure app or fax — with every attempt timestamped. The caller is told something true while it happens rather than being left holding.
What does setup involve?
Days rather than weeks, and almost none of it is technical. The work is deciding what you want asked, who owns which callers, what a qualified inquiry looks like, and what happens when nobody answers. We help write that down, confirm it with you, and test the routing before the first live call.
Which calls are actually urgent for a firm like ours?
Fewer than most partners expect, and that is the point. For most firms the genuinely time-sensitive calls are a new inquiry working to a deadline, an existing client with a filing or renewal date inside a few days, and anything from a regulator, a court or a carrier. Everything else is a well-taken message. You define the list — the value is in it being a written list rather than a judgment call made forty times a day.
